The group may leave with different ideas about scope, ownership and the first deadline.

Learner does:
  1. State what the meeting must confirm before it ends.
  2. Write five success checks: purpose, scope, roles, risk and first actions.
  3. Identify one item that must be recorded after the meeting.

Before we start, let me confirm the purpose. The client portal must be ready for a pilot on the eighteenth. Nara owns the client checklist, Som will confirm system access, and I will coordinate the weekly update. The main risk is late feedback from the client. We need the checklist by Wednesday and access confirmation by Thursday.

Here is the action plan we have agreed. Nara will send the client checklist by three p.m. Wednesday. Som will confirm access by noon Thursday. I will post a progress update every Tuesday and record any change in the decision log. If client feedback is late, we will start with the approved pilot group and review the remaining items on Friday.

Learner does: Record five confirmed facts, two constraints, one open question and one decision that appears only in Track B.
Check your evidence map

A strong answer preserves the pilot date, names, responsibilities and deadlines exactly. It keeps “late client feedback” as a risk, not a confirmed delay, and notices that Track B adds the approved-pilot fallback and decision log.

Teacher Help · Stage 3

Reward questions that change ownership, deadline, scope or risk response. Remove repeated questions and any request for information already confirmed.

4. Choose, justify and close the first plan

Option A · broad pilot

Keep the original pilot group and move the internal review earlier. This protects scope but increases coordination pressure.

Option B · staged pilot

Start with the approved pilot group and review remaining users on Friday. This protects the date but changes the first release scope.

Learner does:
  1. Choose one defensible option using the evidence and risk.
  2. Assign one owner and deadline to every first action.
  3. State the update channel, decision record and confirmation point.
  4. Close the meeting in 45–60 seconds.

Useful close: “So Nara will send the checklist by 3 p.m. Wednesday, Som will confirm access by noon Thursday, and I’ll record any scope change in the decision log. We’ll confirm pilot readiness on Friday. Have I captured the plan correctly?”

Accept either option when the learner explains the trade-off. Check that each action has one owner, one time and one visible confirmation.

5. Adapt when one project condition changes

The client moves the pilot forward by two days.

Constraint

Som cannot confirm system access until Thursday afternoon.

Learner does:
  1. State which purpose, scope and owners remain fixed.
  2. Identify the actions and deadlines that must change.
  3. Give a revised 45-second meeting close.
  4. Write a 55-word action-log update that records the change, reason, owner and next checkpoint.
Teacher Help · Stage 5

Change one condition only on the first retry. Reject an answer that silently changes unrelated facts or removes the confirmation point.

6. Final Practice · run a new kick-off close

Use a new brief to complete the kick-off close independently.

FINAL PERFORMANCE

Scenario: A remote team must launch an internal reporting dashboard in three weeks. The brief names the sponsor and first users, but the success measure, data owner and review rhythm are unclear. One analyst is unavailable during week two, and the sponsor may add another department.

  1. State the confirmed purpose, scope, constraints and highest-risk gaps.
  2. Ask focused clarification questions.
  3. Compare two reasonable first-plan options.
  4. Recommend and justify one plan.
  5. Assign owners, deadlines, update channel and confirmation.
  6. Close the meeting in 60–90 seconds.
  7. Adapt the close and action log after the teacher changes one condition.
