Launch a client portal pilot on the eighteenth.
Run a Remote Project Kick-Off
Turn a project brief into shared purpose, clear roles, defensible decisions and traceable first actions—then adapt the plan when one condition changes.
Why this lesson matters ·
For learners: Prove that you can turn a project brief and meeting evidence into a shared action plan with clear ownership, deadlines, risk response and an accurate adaptation.
For teachers: The lesson integrates listening evidence, clarification, option comparison, meeting facilitation, spoken closing, written action logging and one-condition adaptation in one observable B2 performance.
Your goal
Run a remote project kick-off that aligns purpose, scope, roles, risks and first actions; close with an action plan everyone can follow; and adapt the same plan when one condition changes.
Why this lesson matters ·
A kick-off is successful only when the group leaves with the same purpose, boundaries, decisions and next actions. This lesson turns meeting language into evidence that can be checked after the call.

Teacher Lesson Plan · Read before class
| Time | Teacher does | Student does | Evidence |
|---|---|---|---|
| 0–4 | Reveals the project brief and asks what a successful kick-off must produce. | Defines five success checks. | Purpose, scope, roles, risk and actions. |
| 4–9 | Plays both audio tracks for gist, then evidence. | Separates confirmed facts, constraints and open questions. | An accurate evidence map. |
| 9–14 | Challenges invented details and low-value questions. | Builds the project map and selects priority questions. | A complete, evidence-linked map. |
| 14–19 | Presents two defensible coordination options. | Chooses, justifies and closes the first action plan. | Owner, deadline, channel and confirmation. |
| 19–24 | Changes one realistic project condition. | States what remains fixed and adapts the affected actions. | An accurate revised action log. |
| 24–30 | Removes models, scores EVD / DEC / ACT and gives one feedback point. | Runs a new kick-off close and retries one weak point. | Independent spoken and written mastery proof. |
1. Define a successful kick-off
4 minThe group may leave with different ideas about scope, ownership and the first deadline.
- State what the meeting must confirm before it ends.
- Write five success checks: purpose, scope, roles, risk and first actions.
- Identify one item that must be recorded after the meeting.
Teacher Help · Stage 1
Ask, “What could two people interpret differently after the call?” Move on when the learner can distinguish a useful discussion from a traceable kick-off outcome.
2. Listen for purpose, roles and constraints
5 minListen for: the purpose, three responsibilities, one risk and two deadlines.
Before we start, let me confirm the purpose. The client portal must be ready for a pilot on the eighteenth. Nara owns the client checklist, Som will confirm system access, and I will coordinate the weekly update. The main risk is late feedback from the client. We need the checklist by Wednesday and access confirmation by Thursday.
Compare: how a meeting close turns the evidence into a traceable action plan and fallback.
Here is the action plan we have agreed. Nara will send the client checklist by three p.m. Wednesday. Som will confirm access by noon Thursday. I will post a progress update every Tuesday and record any change in the decision log. If client feedback is late, we will start with the approved pilot group and review the remaining items on Friday.
Check your evidence map
A strong answer preserves the pilot date, names, responsibilities and deadlines exactly. It keeps “late client feedback” as a risk, not a confirmed delay, and notices that Track B adds the approved-pilot fallback and decision log.
Teacher Help · Stage 2
Play each track once for gist and once for evidence. Require the learner to cite the exact word, name or time behind every note.
3. Build the kick-off decision map
5 minWhat must be true for the pilot to count as ready?
Which users and functions belong in the first pilot?
Who owns each first action and who confirms completion?
Where will updates and decisions be recorded?
What will the team do if client feedback arrives late?
When will the group review readiness together?
- Complete the six-part map using only confirmed evidence.
- Mark every missing detail with a question, not a guess.
- Select the three questions that most affect the first action plan.
Teacher Help · Stage 3
Reward questions that change ownership, deadline, scope or risk response. Remove repeated questions and any request for information already confirmed.
4. Choose, justify and close the first plan
5 minOption A · broad pilot
Keep the original pilot group and move the internal review earlier. This protects scope but increases coordination pressure.
Option B · staged pilot
Start with the approved pilot group and review remaining users on Friday. This protects the date but changes the first release scope.
- Choose one defensible option using the evidence and risk.
- Assign one owner and deadline to every first action.
- State the update channel, decision record and confirmation point.
- Close the meeting in 45–60 seconds.
Useful close: “So Nara will send the checklist by 3 p.m. Wednesday, Som will confirm access by noon Thursday, and I’ll record any scope change in the decision log. We’ll confirm pilot readiness on Friday. Have I captured the plan correctly?”
Teacher Help · Stage 4
Accept either option when the learner explains the trade-off. Check that each action has one owner, one time and one visible confirmation.
5. Adapt when one project condition changes
5 minThe client moves the pilot forward by two days.
Som cannot confirm system access until Thursday afternoon.
- State which purpose, scope and owners remain fixed.
- Identify the actions and deadlines that must change.
- Give a revised 45-second meeting close.
- Write a 55-word action-log update that records the change, reason, owner and next checkpoint.
Teacher Help · Stage 5
Change one condition only on the first retry. Reject an answer that silently changes unrelated facts or removes the confirmation point.
6. Final Practice · run a new kick-off close
6 minUse a new brief to complete the kick-off close independently.
Scenario: A remote team must launch an internal reporting dashboard in three weeks. The brief names the sponsor and first users, but the success measure, data owner and review rhythm are unclear. One analyst is unavailable during week two, and the sponsor may add another department.
- State the confirmed purpose, scope, constraints and highest-risk gaps.
- Ask focused clarification questions.
- Compare two reasonable first-plan options.
- Recommend and justify one plan.
- Assign owners, deadlines, update channel and confirmation.
- Close the meeting in 60–90 seconds.
- Adapt the close and action log after the teacher changes one condition.

Teacher scoring guide
Score the first independent Final Practice. Give 0–2 for each criterion; target: 5 out of 6 or higher.
Teacher help
Listen to the full first attempt without supplying wording. Record EVD, DEC and ACT separately, give one observable feedback point, change one fact, and ask for one focused retry.
