Coordinate the First Safe Actions
Prioritise risks, assign first actions, confirm responsibilities, and update the plan when information changes.
Today’s goal
By the end, you can coordinate a changing situation without reading a full script. Your team should understand the current priority, who owns each first action, when to report back, and what has changed.
CM Conversation management
Set the order, allocate turns, invite clarification, introduce an update, and close with a shared plan.
FP Functional performance
Make the priority, owners, actions and revised route clear enough for another person to act.
Your 30-minute route
Teacher Lesson Plan
- Set the two roles and point to the seven-turn coordination flow.
- Let the learner select language for prioritising, assigning, confirming and updating.
- Play the American-English model once for the plan and once for the update.
- Run Round 1 with the learner as Site coordinator.
- Switch the learner to Team leader with a new situation.
- Interrupt with one confirmed update; require a revised plan.
- Run the unrehearsed Final Practice, score CM and FP, then retry one weak turn.
Teacher-talk rule: keep setup under 60 seconds per round. Let the exchange finish before correcting.
Understand the roles and goal
3 minSite coordinator
State the current priority and reason. Assign each first action, name the owner and reporting line, then revise the plan when a confirmed update arrives.
Team leader
Give the latest confirmed status. Clarify order or ownership, repeat the agreed plan, and report any change without speculation.

Teacher Help · exact setup
Say: “This is a coordination meeting during a fictional safety incident. We use only confirmed facts. We will agree a plan, receive an update and revise it.” Point to all seven turns.
Choose usable coordination lines
5 minPrioritise and assign
- “Our first priority is … because …”
- “Before we …, we need to …”
- “Take ownership of … and report back by …”
- “Ask Mina to … while I …”
- “Do not start … until … is confirmed.”
Confirm and update
- “To confirm, I … while Mina …”
- “Who should I contact if …?”
- “The latest confirmed update is …”
- “That changes our route, so … instead.”
- “The revised plan is …”
B2 precision: a task is not fully assigned until the listener knows the owner, action, place or route, and reporting point.
Teacher Help · functional language
Ask four fast questions: “Priority?”, “Why?”, “Who owns it?”, “When do they update you?” Model only the missing chunk. Accept equivalent B2 language when the function is clear.
Notice the plan and the change
4 minRead the model after listening
Coordinator
Give me the latest confirmed information.
Team leader
The west corridor is closed, reception must stay clear, and our group is moving to the east courtyard. Two visitors are still with their host near the café entrance.
Coordinator
Our first priority is to keep reception clear and account for everyone. Take the attendance list to the east courtyard. Ask Mina to guide visitors along the green route. I’ll report any missing names to the safety coordinator.
Team leader
To confirm, I check attendance first, while Mina guides visitors. Should I contact you or the safety coordinator if someone is missing?
Coordinator
Contact me immediately; I’ll pass the confirmed name on. Update: the café entrance is now congested. Use the north gate into the courtyard instead.
Team leader
Understood. The revised plan is: Mina guides the group through the north gate, I check attendance in the courtyard, and I report any missing person to you.
Coordinator
Correct. Start now and update me after the count.
Teacher Help · two listens
First listen without pausing. For the second, pause after the assignment and after “Update”. Ask: “Which part changed, and which parts stayed the same?” Do not drill the transcript.
Guided round: make the initial plan
6 minScenario A · Conference centre
- The west corridor is closed.
- Reception must remain clear.
- The group is moving to the east courtyard.
- Two visitors are still with their host near the café entrance.

Teacher Help · Round 1
Give the status as Team leader. If needed, prompt only: “Which risk comes first?”, “Who owns each action?” or “Check my understanding.” After the round, give one CM and one FP note.
Switch roles and confirm the plan
4 minScenario B · Training floor
- Several boxes partly block the side exit near the training room.
- No one is trapped.
- The main route near reception is open.
- Staff must keep the side exit clear and direct people to the marked main route.
Teacher Help · role switch
Play the Site coordinator. Give two procedural assignments without asking the learner to move the boxes. Require a backbrief with owner, action, route and reporting point.
Respond to a changing update
4 minConfirmed update
The main route near reception is now congested. Responsible staff confirm that the marked north route is open. The side exit remains unavailable.
signal the changestate what staysrevise routereassign if neededconfirm next update
Teacher Help · add pressure, not danger
Deliver the update once. Allow five seconds of planning. If the learner restarts everything, ask: “What stays the same?” Keep the focus on communication and official routes, not hazard-solving.
Final Practice: coordinate without a script
4 minFresh scenario · Community event
One entrance is temporarily closed. A supervised group is waiting at the assembly point. The information desk needs to remain clear. The teacher will add one confirmed route update during the exchange.
- Get the latest confirmed status.
- Set the priority and give a reason.
- Assign two first actions with owners.
- Clarify and backbrief.
- Adapt when the update arrives.
- Close with the next reporting point.
CM · 0–2
2 manages turns, update and close independently
1 completes the exchange with one prompt
0 cannot yet maintain the coordination flow
FP · 0–2
2 priority, owners, actions and revision are fully clear
1 one element needs clarification
0 the listener cannot identify the agreed plan
Teacher Help · evidence and retry
Do not interrupt. Score CM and FP separately. Give one specific success and one next step, then repeat only the weakest turn. Evidence must come from the unrehearsed exchange.
