A customer reports a late delivery and incorrect tracking information. Acknowledge the impact, clarify the facts and agree a repair you can actually deliver.

Study the model exchange

Customer: The order was due yesterday, and the tracking link does not work.
You: I am sorry this has disrupted your schedule. Let me check two details: is this order 4762, and do you still need delivery before noon tomorrow?
Customer: Yes.
You: I will confirm the courier status within thirty minutes and call you with either a delivery time or a replacement option.

Guided role play

Learner does: Handle a delayed order.

Use keywords only. Change names, figures, reasons and actions so the message is yours.

Change one condition and respond

  1. Change the customer priority and one available solution.
  2. Close only after the customer repeats the agreed next step.

Retry rule: after feedback, repeat the weakest part with one changed condition.

Take the other role or act as the reader. Change one realistic fact after the first attempt and delay correction until the message is complete.

Final role play · prove the skill

Handle a new service problem for three minutes. Clarify two facts, offer a proportionate repair and confirm an owner and update time.

Success: complete the task independently and make the listener’s next action or understanding clear.
