Give a Short Project Update

Give a concise update that tells stakeholders what is complete, what is happening now, what comes next, and what support or decision is needed.

Your goal

By the end of this lesson, you can deliver a 60-second project update with completed work, current progress, next action and deadline, and one clear risk or support request, then answer two stakeholder questions.

1. Read the project dashboard

Choose the information a stakeholder needs now. Do not report every project detail.

Use the dashboard to prepare a concise action-oriented update.

2. Listen for the update path

Status and next action

What is complete, and what happens next?

Risk and request

Which risk or support request needs a response?

3. Build the five-part update

1CompletedWhat result is finished?
2NowWhat is in progress?
3NextWhat action comes next?
4DeadlineWho will do it, and by when?
5Risk or requestWhat response is needed?

4. Choose concise professional language

Completed

We’ve completed …

In progress

We’re currently working on …

Next action

The next step is …
We expect to finish by …

Risk and request

One risk is …
We need … from … by …

5. Repair weak updates

Too much history

Remove background that does not change the stakeholder’s action.

No owner

Name who will complete the next action.

No deadline

Replace soon with a realistic date or time.

Complaint only

Turn the complaint into a specific risk and support request.

6. Give the update and handle questions

Round 1: Give the update from key words only.

Stakeholder questions: What could delay this? · Who owns the next step? · What do you need from me? · Is the deadline still realistic?

Round 2: Change one project detail and repeat without a full script.

Final practice: Make the next action clear

Deliver the update without reading a complete script. This checks professional relevance, interaction, and whether the stakeholder can act on the information.

Task: Give a 60-second update with completed work, current progress, next action and deadline, and one risk or request. Answer two stakeholder questions.

Success: The listener can state the project status, next owner or deadline, and required response accurately.

PROF · Professional Communication

1 Includes unrelated background or complaint language that hides the useful update.

2 Mostly relevant and professional, with some unnecessary detail or an unclear request.

3 Concise, relevant, constructive, and clearly adapted to the stakeholder’s need.

CM · Conversation Management

1 Needs the teacher to organise the update or supply most responses.

2 Follows the update path and answers questions with prompts or one reminder.

3 Manages the update and two follow-ups independently in a clear sequence.

FP · Functional Performance

1 The listener cannot identify the current status or next action.

2 Most required information is present, but one action, deadline, or request remains unclear.

3 The listener can identify status, next action, owner or deadline, and the required response without guessing.

Teacher guide · 30-minute delivery
  • Set one stakeholder and project context before showing the dashboard.
  • Play the two models and ask for status, next action, and required response.
  • Let the learner prepare five key words, not a full written update.
  • Repair one weak update by adding owner, deadline, or actionable request.
  • Run the 60-second update without interruption, then ask two stakeholder questions.
  • Give feedback on one relevance point and one interaction point, then retry.
  • Record PROF, CM, and FP separately from 1–3.
