Define reader and purpose

The reader is busy and should understand what you need within ten seconds.

Learner does: explain the listener, purpose and successful outcome in your own words.

Study a useful model

Subject: Approval needed: revised launch date by Thursday
Hi Jo, the supplier has moved the final delivery to 18 June. Could you approve the revised launch date in the attached plan by 3 p.m. Thursday? This will let the communications team update the client notice on Friday. Please let me know if you need the cost impact as well.
Learner does: identify the job of each part of the model before borrowing any language.

Plan from keywords

Learner does: Request approval from a manager.

Use keywords only. Change names, figures, reasons and actions so the message is yours.

Limit the plan to reader, purpose and five to seven keywords. The learner should draft from the plan, not copy the model.

Draft and test with a reader

  1. Request information from another team.
  2. Cut the message until the action is visible at a glance.

Retry rule: after feedback, repeat the weakest part with one changed condition.

Read as the intended reader and identify any unclear purpose, action or deadline. The learner decides and makes the revision.

Final writing task · independent rewrite

Write a 70–100 word request whose reader, action and deadline cannot be misunderstood.

Success: complete the task independently and make the listener’s next action or understanding clear.

Teacher Help · Final assessment
Do not supply wording during the final task. Score the three Progress Focus areas, give one precise improvement point and run a shorter retry.
