The client review is on Friday.
Who sends the revised file, the exact deadline and who confirms receipt.
Ask, “What could two people interpret differently?” Move on when the learner can distinguish agreement from a genuinely closed loop.

Hi Nok. The client review is Friday, and I need the final version before then. Arun has checked most of the figures, but two pricing lines still need confirmation. Could you update the deck and send it when it is ready? I’ll be away after lunch tomorrow, so someone else may need to confirm that the client received it.

Let me clarify what I heard. The client-ready deck is needed by three p.m. Thursday. Arun will confirm the two pricing lines by eleven, Nok will update and send the deck by three, and I will check that the client received it. If Arun cannot finish by eleven, I’ll message both of you so we can adjust the review order.
A strong map preserves names, dates and constraints exactly, marks uncertain wording and does not invent an owner or deadline.
Play each update once for gist and once for evidence. Ask the learner to justify every entry using a word or detail from the audio.
When you say “final version”, do you mean the client-ready file?
Who will send the revised file?
Do you need it by 3 p.m. Thursday or before Friday’s review?
Who will confirm that the client received it?
Reward narrow questions that protect the next action. Remove repeated or low-value questions and require one concise confirmation line.
Nok revises the file today; Arun checks it tomorrow morning; Nok sends it by noon.
Arun checks the key figures before Nok completes the client-ready version by 3 p.m.
Useful close: “So Arun will check the figures by 11, Nok will send the client-ready file by 3, and I’ll confirm receipt. Have I captured that correctly?”
Accept either option when the reason matches the evidence. Check that every action has one clear owner, one time and one confirmation point.
The client moves the review forward by two hours.
Arun cannot check the figures until noon.
Change only one condition on the first retry. Ask the learner to state what remains fixed, what changes and who needs the revised message.
Scenario: A cross-team task is delayed because two people understood “ready by Monday” differently. The customer call is now earlier, one reviewer is unavailable and nobody has confirmed who sends the final version.
Success: The listener can act without guessing, and the revised message stays accurate when the condition changes.
Score each criterion separately. Use the learner’s first independent attempt—not a teacher-supplied model—as the evidence.
0 · Not yet: Important facts are missing, changed or mixed with assumptions.
1 · With support: Most facts and gaps are accurate, but one prompt is needed.
2 · Independent: Confirmed facts, gaps and assumptions are separated and preserved accurately without prompting.
0 · Not yet: Ownership, timing or priority is missing or impractical.
1 · With support: The plan is reasonable but needs one prompt to clarify an owner, deadline or reason.
2 · Independent: Every action has a defensible owner, timing and priority with a relevant reason.
0 · Not yet: The listener must guess the next action, or the changed condition is ignored.
1 · With support: The loop closes after one prompt, or the adaptation is partly clear.
2 · Independent: The message closes the loop clearly and updates the right details when one condition changes.
Interpret the total: 0–2 = rebuild with support · 3–4 = targeted retry · 5–6 = mastery evidence. The total never replaces the three separate criterion scores.
