Learner does: Record four confirmed facts, three missing details and one assumption that must not be treated as fact.
Check your evidence map

A strong map preserves names, dates and constraints exactly, marks uncertain wording and does not invent an owner or deadline.

Play each update once for gist and once for evidence. Ask the learner to justify every entry using a word or detail from the audio.

3Build a focused clarification map

Meaning

When you say “final version”, do you mean the client-ready file?

Owner

Who will send the revised file?

Timing

Do you need it by 3 p.m. Thursday or before Friday’s review?

Confirmation

Who will confirm that the client received it?

Learner does: Select the three questions that remove the greatest risk. Explain why each question matters; do not ask for information already confirmed.
Teacher Help · Stage 3

Reward narrow questions that protect the next action. Remove repeated or low-value questions and require one concise confirmation line.

4Coordinate and confirm the next action

Option A · speed first

Nok revises the file today; Arun checks it tomorrow morning; Nok sends it by noon.

Option B · quality first

Arun checks the key figures before Nok completes the client-ready version by 3 p.m.

Learner does: Choose a defensible plan, assign one owner to each action, state the deadline and close with a confirmation request.

Useful close: “So Arun will check the figures by 11, Nok will send the client-ready file by 3, and I’ll confirm receipt. Have I captured that correctly?”

Teacher Help · Stage 4

Accept either option when the reason matches the evidence. Check that every action has one clear owner, one time and one confirmation point.

5Adapt when one condition changes

Change

The client moves the review forward by two hours.

Constraint

Arun cannot check the figures until noon.

Learner does: Update the priority and ownership without restarting the whole conversation. Then write a 45-word follow-up message that preserves the agreed action, owner, deadline and confirmation.

Change only one condition on the first retry. Ask the learner to state what remains fixed, what changes and who needs the revised message.

6Final Practice · close a new coordination loop

Scenario: A cross-team task is delayed because two people understood “ready by Monday” differently. The customer call is now earlier, one reviewer is unavailable and nobody has confirmed who sends the final version.

  1. State the confirmed facts and identify the highest-risk gaps.
  2. Ask focused clarification questions.
  3. Choose and justify a practical coordination plan.
  4. Assign owner, timing and confirmation.
  5. Give a concise spoken close.
  6. Adapt it as a written update after the teacher changes one condition.

Success: The listener can act without guessing, and the revised message stays accurate when the condition changes.

0 · Not yet: Important facts are missing, changed or mixed with assumptions.

1 · With support: Most facts and gaps are accurate, but one prompt is needed.

2 · Independent: Confirmed facts, gaps and assumptions are separated and preserved accurately without prompting.

DEC · Coordination decision

0 · Not yet: Ownership, timing or priority is missing or impractical.

1 · With support: The plan is reasonable but needs one prompt to clarify an owner, deadline or reason.

2 · Independent: Every action has a defensible owner, timing and priority with a relevant reason.

ACT · Close & adapt

0 · Not yet: The listener must guess the next action, or the changed condition is ignored.

1 · With support: The loop closes after one prompt, or the adaptation is partly clear.

2 · Independent: The message closes the loop clearly and updates the right details when one condition changes.

Interpret the total: 0–2 = rebuild with support · 3–4 = targeted retry · 5–6 = mastery evidence. The total never replaces the three separate criterion scores.

Teacher Help · Final assessment
  1. Listen to the complete first attempt without supplying wording.
  2. Record EVD, DEC and ACT separately; cite one observable example for each score.
  3. Choose the lowest-scoring criterion for feedback. If scores tie, choose the criterion that most affects the listener’s ability to act safely.
  4. Give one precise feedback point, change one fact, and require a 45-second retry.
  5. Rescore only the focused criterion and note whether the learner improved independently.
